How to use this time card calculator

  1. Type your in and out times for each day you worked. Formats are flexible: 9, 9:30, 930, 5pm and 17:30 all parse correctly — and 9 to 5 is understood as 9 am to 5 pm.
  2. Add unpaid break minutes (lunch, etc.) — they're deducted from that day's total.
  3. Pick your overtime rule and optionally enter an hourly rate for a gross pay estimate.
  4. Print it. The print button produces a clean, signable timesheet — or save it as a PDF from the print dialog.

Minutes to decimal hours (payroll conversion)

Payroll multiplies decimal hours by your rate, so 7 hours 30 minutes is paid as 7.50 hours. The math is minutes ÷ 60 — here's the chart payroll teams use:

How overtime works

Under the US federal FLSA, non-exempt employees earn at least 1.5× pay for hours beyond 40 in a workweek. Several states layer daily rules on top — California, for example, pays 1.5× after 8 hours in a single day (and 2× after 12, which this tool approximates at 1.5×). Pick the rule that matches your state, and treat the result as an estimate: local law, exemptions and union agreements all change the math.

Frequently asked questions

How do I calculate my work hours?

Subtract your start time from your end time, then subtract unpaid breaks. Example: 9:00 am to 5:30 pm is 8.5 hours; minus a 30-minute lunch leaves 8 hours. The calculator does this per day, totals the week, splits overtime and converts to decimals automatically.

How do I convert minutes to payroll decimals?

Divide minutes by 60: 15 min = 0.25, 30 min = 0.50, 45 min = 0.75. So 7:30 on a time clock is 7.50 decimal hours on a paycheck. The full chart is above.

How is overtime calculated?

Federal rule: 1.5× past 40 hours per week. Some states add daily overtime (California: past 8 hours/day). Choose the matching rule above — and verify against your local law, since exemptions vary.

Does it handle overnight shifts?

Yes — if your out-time is earlier than your in-time (10:00 pm to 6:00 am), the shift is counted across midnight as 8 hours.
